Tax Configuration

Configure how tax rates map between HubSpot and QuickBooks.

Accessing Settings

  1. Go to Settings in the sidebar
  2. Click Sync
  3. Select the Tax tab

Configuration Options

Enable Tax Mapping

Toggle this setting to turn tax mapping on or off.

  • On - Tax rates will be mapped during invoice/quote sync
  • Off - Tax handling falls back to defaults

Unmapped Tax Behavior

Choose what happens when a HubSpot tax rate doesn't have a mapping:

Use Default Tax Code

  • Applies a specific QuickBooks tax code you choose
  • Good for: When most items should have the same tax treatment

Mark as Taxable (TAX)

  • Applies the standard "TAX" code in QuickBooks
  • Good for: When unmapped items should be taxable by default

Mark as Non-Taxable (NON)

  • Applies the "NON" (non-taxable) code
  • Good for: When unmapped items should not have tax

Fail the Sync (Strict Mode)

  • Rejects the entire invoice/quote if any line item has an unmapped tax rate
  • Good for: When tax accuracy is critical and you want to catch missing mappings

Recommended: Start with "Mark as Taxable" and create mappings for your specific tax rates.

Managing Tax Mappings

Refreshing Tax Data

Before creating mappings, refresh the cache to get current tax rates and codes:

  1. Click Refresh Cache button
  2. Wait for data to load from both systems
  3. HubSpot tax rates and QuickBooks tax codes will appear in dropdowns

Adding a Mapping

  1. In the "Add Tax Mapping" section
  2. Select a HubSpot Tax Rate from the dropdown
  3. Select the corresponding QuickBooks Tax Code
  4. Click Add Mapping

Viewing Current Mappings

The "Current Mappings" table shows:

  • HubSpot tax rate name and percentage
  • QuickBooks tax code name
  • Status (Active/Inactive)

Editing a Mapping

  1. Find the mapping in the table
  2. Click Edit
  3. Change the QuickBooks tax code
  4. Save changes

Deleting a Mapping

  1. Find the mapping in the table
  2. Click Delete
  3. Confirm deletion

The HubSpot tax rate becomes available for new mappings.

Saving Your Configuration

  • Enable/disable and unmapped behavior: Click Save Configuration
  • Tax mappings: Save automatically when added/edited/deleted

Configuration Tips

Starting Setup

  1. Enable tax mapping
  2. Click Refresh Cache to load tax data
  3. Review your HubSpot tax rates
  4. Create mappings for each rate
  5. Set unmapped behavior as fallback

For Simple Tax Setups

If you have just one tax rate:

  1. Create one mapping
  2. Set unmapped behavior to "Mark as Non-Taxable"
  3. Taxable items use your mapping, non-taxable items use NON

For Complex Tax Setups

If you have multiple tax rates (state-specific, etc.):

  1. Create a mapping for each HubSpot rate
  2. Consider "Fail the Sync" for unmapped behavior
  3. This ensures you never miss a tax rate

Testing Tax Mappings

  1. Create a test invoice with taxable line items
  2. Sync it to QuickBooks
  3. Verify tax is applied correctly
  4. Check the tax amounts match expectations
