Understanding how sync limits work on the Free tier.

How Usage Is Counted

What Counts as a Sync

Each successful sync counts toward your limit:

Action Counts
Invoice synced to QuickBooks 1 invoice sync
Payment synced to QuickBooks 1 payment sync
Product synced 1 product sync
Quote synced to QuickBooks 1 quote sync

What Doesn't Count

  • Failed syncs (only successful ones count)
  • Retries of the same record
  • Viewing sync logs
  • Configuration changes

Free Tier Limits

Limits Are Separate

Each type has its own limit:

  • Using 5 invoice syncs doesn't affect payment syncs
  • You could sync 5 invoices AND 5 payments AND 5 products

Checking Your Usage

View Current Usage

  1. Go to Settings then Billing
  2. See the usage section
  3. View counts for each sync type
  4. See remaining syncs for the month

Invoice Syncs: 3 / 5 used
Payment Syncs: 2 / 5 used
Product Syncs: 1 / 5 used
Quote Syncs: 0 / 5 used

When You Hit a Limit

What Happens

  1. Sync attempts are still received
  2. They're placed in a queue (Pending status)
  3. You see a notification about limit reached
  4. No data is lost

Queued Items

Items in queue will sync when:

  • Your limits reset (next billing cycle)
  • You upgrade to Unlimited

Viewing Queued Items

  1. Go to Data section
  2. Filter by "Pending" status
  3. See items waiting for limit reset

Limit Reset

When Limits Reset

  • Limits reset monthly
  • Reset date is based on when you created your account
  • Example: Account created January 15th = resets on 15th each month

After Reset

  • Usage counters go back to zero
  • Queued items begin processing
  • New syncs count against fresh limit

Managing Within Limits

Tips for Free Tier Users

Prioritize important syncs:

  • Focus on invoices that need to be in QuickBooks
  • Consider which payments are critical

Use bulk import wisely:

  • Bulk imports count against limits
  • Plan imports to stay within limits

Monitor usage:

  • Check usage regularly
  • Know when you're approaching limits

If You Frequently Hit Limits

Consider upgrading to Unlimited:

  • No more queued items
  • Real-time sync always works
  • Better for active businesses

Unlimited Tier

With Unlimited subscription:

  • No usage limits
  • Sync as much as needed
  • No queuing or delays

Common Questions

Do failed syncs count?

No. Only successful syncs count toward limits.

Do retries count?

No. Retrying a previously failed sync doesn't count as a new sync.

What if I sync the same invoice twice?

Updates to already-synced items don't count as new syncs (they update the existing record).

Do product syncs from full sync count?

Yes. Each product synced during a full product sync counts.

Can I buy additional syncs?

Currently, the options are Free (5/5/5/5) or Unlimited. Contact support for custom needs.
